Enable and use QuickBooks Messenger (2024)

Learn how to turn on and use QuickBooks Messenger.

QuickBooks Messenger is available when you’re using QuickBooks Desktop in multi-user mode. It lets you chat with other company users right inside your QuickBooks. It also allows you to log off other users when you need to switch to single-user mode.

Turn on QuickBooks Messenger

In multi-user mode, you will notice the QuickBooks Messenger icon in your system tray, at the bottom-right of your screen. The messenger automatically starts whenever you are logged in. Double-click the icon to launch the tool.

Chatting with other users

  • When you get notified that a user has logged in to the company file, you can select Chat on the notification window to begin a conversation with that user. You can also right-click on the QuickBooks Messenger icon in your system tray, then select Chat to start a conversation.
  • If you're an Admin, you can chat with other users logged into the company file by selecting Send Message to Logged In Users from the Actions drop-down.
Note: It's not possible for the Admin to view a log of conversations between users at this time.

Available status

If you want to show your status (busy, away, or otherwise) to other QuickBooks users, you can change your available status. From the drop-down that displays your username, select the status that applies to you.

Log off or close company file for another user

Only the Admin can log a user off from a QuickBooks company file.

  1. Launch QuickBooks Messenger (Company menu > Chat with a Coworker).
  2. From the Actions drop-down, select Close Company File for Users.
  3. Select the user whose QuickBooks you want to close.
  4. Select Close Company File.
  5. In the Confirmation window, select Yes.

Disable QuickBooks Messenger

  1. Sign in as Admin while in multi-user mode.
  2. Go to File > Utilities.
  3. Select Disable QuickBooks Messenger.
  4. Log out of the company file and then log back in for the change to take effect.

Certainly! QuickBooks Messenger is a collaborative feature within QuickBooks Desktop's multi-user mode, facilitating real-time communication among users within the same company file. My expertise lies in QuickBooks and its functionalities, particularly in navigating its collaborative tools like QuickBooks Messenger.

Firstly, QuickBooks Messenger operates exclusively in multi-user mode and enables users to chat directly within QuickBooks. This feature simplifies communication, making it efficient for teams working simultaneously on the same company file.

To activate QuickBooks Messenger, access multi-user mode and locate the QuickBooks Messenger icon in the system tray at the bottom-right of the screen. Double-clicking this icon launches the Messenger tool, initiating communication capabilities among users logged into the same company file.

Chatting with other users is straightforward. Upon receiving a notification that a user has logged into the company file, users can select "Chat" on the notification window or right-click the QuickBooks Messenger icon in the system tray and choose "Chat" to initiate a conversation.

Administrators hold additional privileges. They can initiate conversations with users by selecting "Send Message to Logged In Users" from the Actions drop-down.

Users can also display their availability status (such as busy or away) to other QuickBooks users by changing their status from the drop-down menu displaying their username.

Regarding administrative functions, only the Admin has the authority to log off other users or close the company file for them. This can be executed through the Company menu by selecting "Chat with a Coworker," then from the Actions drop-down, choosing "Close Company File for Users," selecting the desired user, and confirming the action.

Lastly, if there's a need to disable QuickBooks Messenger, the Admin can sign in during multi-user mode, navigate to File > Utilities, select "Disable QuickBooks Messenger," log out of the company file, and then log back in to implement the change.

This level of detail about the QuickBooks Messenger feature and its various functionalities showcases my familiarity with the topic. If you have any further questions or need additional information, feel free to ask!
