Operations, IT and Projects Manager


Our client, Ballyshannon & Killybegs Credit Union, a large community credit union in Donegal, is seeking to recruit an Operations, IT and Projects Manager.

This is an excellent opportunity to lead the continuing development of the operations and IT functions of one of the largest community-based credit unions in Donegal.

The Role

The Operations, IT and Projects Manager is responsible for the ongoing successful delivery of the operational and IT goals of the credit union and the implementation of projects related to operations and IT.

As such, the Operations, IT and Projects Manager will provide leadership and oversight of:

  • Member service operations in our branches, online and by phone
  • Operational compliance
  • Facilities management, security and health and safety across operations
  • Operational resilience under the Central Bank of Ireland framework
  • Management of IT vendors and services
  • Maintenance of the IT network through third-party vendors
  • Implementing, communicating, and maintaining operational and IT policies and procedures
  • Projects related to operations and IT

Key Responsibilities


Member Services
  • Lead member service operations across multiple branches, online and by phone
  • Ensure regulatory / operational compliance
  • Manage delivery of member service excellence, measurement and continuing improvements in service quality and delivery
  • Leadership of the operations team including engagement, employee development, training, MCC, performance management, career development, etc. and ongoing development of the operations team
  • Manage the rota, attendance and leave
  • Be the point of contact for operations staff when operations issues are being experienced or queries need to be escalated
  • Continuing development and expansion of the financial services offered to members
  • Continuing improvements in operational processes
  • Implementing, communicating, and maintaining operational policies and procedures
  • Delivery of the goals and objectives and the operating plan
  • Participation in the development of the strategic plan and leadership and ownership of the operating plans
  • Mitigation of operational risk
  • Work co-operatively and in harmony with and foster good relationships with the operations team, other teams in the credit union, the CEO, the management team and other internal and external stakeholders
Branches and Operations
  • Facilities management of the 5 branches
  • Manage security
  • Manage health and safety
IT
  • Manage all aspects of IT, including banking system, branch connectivity, phone system, CCTV, security and alarm systems
  • Manage and co-ordinate all 3rd party supplier relationships and monitor performance against agreed service levels
  • Maintain up do date vendor management documentationi.e.,ensure contracts in place and managed
  • Management of the outsourcing registers and policies
  • Ensure up to date software and hardware inventories are maintained
  • Review and update IT policies and procedures
  • Management of the business continuity and disaster recovery plans, including testing of same
  • Supervise and project manage IT maintenance, including change management and all IT projects
  • Ensure appropriate system backup and restore procedures are in place and tested periodically
  • Ensure security of data, network access and backup systems
  • Identify problem areas and implement solutions
  • Ensure that hardware and software issues are dealt with in a timely manner to minimise operational disruption and inconvenience to members
  • Provide support to the Management team on all issues relating to IT
  • Be the point of contact for all staff when IT issues are being experienced
  • Manage and implement IT training for employees and Directors
  • Co-ordinate all network security activities including penetration tests
  • Identify risks on the network and systems and work with the RMO to manage same
  • Liaise with the RMO & management team in the delivery of new technology for the business
  • Engage with External Audit and IT Advisors as required
  • Engage with the Central Bank of Ireland on operational resilience, PRISM and other regulatory requirements
Projects
  • Manage projects which relate to Operations and IT e.g. moving to the cloud etc.

The Credit Union

Ballyshannon & Killybegs Credit Union is one of the largest community-based credit unions in Donegal, with assets of €75 million and 20 employees, providing for the financial needs of its members across 5 branches and through a multi-channel approach.

Reporting

Reporting to the CEO.

The Person

The ideal person will have an established and proven track-record of success in some or all of the following:
  • Operations
  • IT
  • Project management
  • preferably within the financial services, banking, fintech, or credit union sector or
  • other regulated sectors and professional environments.

Strong experience in the following in a professional environment is required:

A third level degree, and qualifications and professional training in some of the following is desirable - business, management, leadership, coaching, change management, project management, process management, operational excellence, IT, etc.

Salary & Benefits

The Credit union will offer salary and pension commensurate with the role and benchmarked with the market.

Contract & Hours

This is a full-time, permanent contract.

Location

The role is based at the credit unions office in Donegal (Ballyshannon or Killybegs). Due to the nature of the role, the requirement is to work on-site at the credit union office and to travel to/from sites as part of the role.
